Participants & self-booking

From arrival to result in one pipeline: participants book their own slot with a access link and without an account.

The Participants & self-booking screen in flynne

Every participant moves through a clear pipeline: newly arrived, assigned, completed, closed. Documents, notes and the full case history hang off the record, nothing gets lost and nothing is kept twice.

And finding a slot? Participants do that themselves: a time-limited access link leads to the slot picker, with no registration, no password and no phone call.

An example view of “Participants & self-booking” with neutral demo data.

Participants book their own appointment

An access link leads straight to the slot picker, without registration, without a password and without a phone call. It is valid for 48 hours and used once; the session then stays open for two hours, rebooking included.

  • Access without an account, with a deadline
  • Free slots in real time, no double booking
  • Fewer no-shows because participants chose the time

One pipeline from arrival to closure

Newly arrived, assigned, completed, closed: every participant has a clear status. Documents, notes and the case history hang off the record.

  • No double data entry between systems
  • A complete history per participant
  • The status flows back into the ATS automatically

Data protection that thinks along

Visibility periods govern who sees which data when. Deletion concepts and anonymisation run automatically: you do not have to think about them.

  • Time-controlled data visibility (privacy by design)
  • Automatic deletion periods under the GDPR
  • Procedure data separate from the applicant tracking system

Common questions

Do participants need a user account?

No. Access runs through an access link, without registration and without a password. It is valid for 48 hours and is redeemed once. For later access the participant requests a new link themselves, as long as their access is still open.

Can participants change their appointment?

Yes, within the open session and within the rebooking deadlines you set. Once the session has ended they request a new access link; after that the regular route through the coordination team applies.

How does the status get back into the ATS?

Through the interface to your applicant tracking system. Participant, appointment and status always travel back, the released result and documents on request. We agree the scope per project; the raw procedure data stays in flynne.

What happens to the data after the procedure?

Six months after the procedure closes, participant data is anonymised and two years later deleted in full. Both run automatically; visibility periods limit access even earlier.
