Glossary

37 terms, explained without jargon.

From the AGG to delivery tracking: the language of aptitude diagnostics and assessment operations. Useful when you have to agree a project with a department, a works council or IT.

A
Access link
A time-limited access link with which candidates book their appointment, without an account and without a password. It saves registration and a password.
Candidates & self-booking
AGG (German equal treatment act)
The Allgemeines Gleichbehandlungsgesetz. It requires selection decisions to be free of discrimination and demonstrably so in the event of a dispute. Standardised procedures and complete documentation are the basis for that.
Aptitude diagnostics
The professional term for systematically judging how well people fit a role, using scientifically grounded methods rather than gut feeling.
Assessment
A structured procedure for judging how suitable people are for a task, from a single test to a full-day assessment centre.
Assessment centre (AC)
A selection format in which several participants work through several exercises and are judged by trained assessors against fixed criteria. Usually one or two days.
Event types & templates
Assessment centre (in-house unit)
An internal unit that runs selection procedures as a service for the departments of a company, with its own capacity planning and often with internal cost allocation.
In-house assessment centre
Assessor
A trained person, often a manager from the department, who judges participants’ behaviour against defined criteria during an assessment. Their training is part of the quality of the procedure.
Roles & portals
ATS (applicant tracking system)
A company’s applicant management system, such as SAP SuccessFactors or SmartRecruiters. flynne does not replace it but adds to it and reports the assessment status back automatically.
All ATS integrations
B
Bestenauslese (merit-based selection)
The constitutional principle governing access to public office in Germany: selection solely by aptitude, capability and professional achievement. It places particularly high demands on traceability and equal treatment.
Public sector
C
Cancellation deadline
The point from which a cancellation causes costs. Important in internal cost allocation, so that late cancellations by departments do not stay with the assessment centre.
Reporting & billing
D
Data processing agreement
The contract under Article 28 GDPR with which a company engages a service provider to process personal data. It governs purpose, duration, deletion and the sub-processors used. Without it, a service provider may not process personal data on your behalf.
What we provide
Delivery tracking
Following up whether an invitation or reminder actually reached the recipient. Without it, it stays unclear whether someone did not respond or never saw the message.
Communication
DIN 33430
The German standard for occupational aptitude assessment. Among other things it recommends qualified people in charge, standardised workflows and documentation that makes the decision traceable. It becomes binding only once it is agreed or written into a tender.
What it means day to day
E
EU AI Act
The EU AI Regulation. Systems that rate or filter people during a hiring process count as high risk under Annex III. Since the Digital Omnibus of July 2026 their obligations only apply from 2 December 2027, while the prohibitions under Article 5 have applied since February 2025. flynne deliberately does not use AI to judge people.
Which deadlines apply now
Event type
The template for a type of procedure: capacity, duration, the roles involved, supervision ratios, documents and prices. Defined once, every later run comes out of it.
Event types & templates
Expert report
The written, reasoned judgement of suitability by a professionally qualified person. Unlike a result sheet, an expert report interprets the findings and justifies them. That brings higher demands on traceability, retention and access rights.
H
Head of assessment
The function responsible for the professional quality of the selection procedures: which instruments are used, who may apply them, how results come about. In smaller organisations often combined with running the assessment centre.
For the head of assessment
I
Incident
An event that puts an assessment at risk: a no-show, an examiner dropping out, a breached supervision ratio, missing confirmations. flynne detects them automatically and ranks them by urgency.
Disruptions
Inter-rater agreement
The measure of how similarly different assessors judge the same behaviour. Low agreement is a warning sign: the assessors are measuring different things, rather than the candidate varying.
ISO 27001
The international standard for information security. It requires every asset worth protecting to be recorded, its risks assessed and the measures against them documented. Watch the version: 2022 replaces 2013, and procurement and IT security ask about exactly that.
Our certificates
ISO 9001
The international standard for quality management. It requires described processes, demonstrable responsibilities and continuous improvement, audited by an independent body. Frequently asked for in tenders as evidence of organisational quality.
K
KRITIS (critical infrastructure)
German shorthand for critical infrastructure: facilities whose failure endangers supply, such as energy, water, health, transport, finance and public administration. Anyone selecting staff there is subject to additional requirements on background checks, evidence and IT security.
Energy & critical infrastructure
M
Mitbestimmung (co-determination)
The participation rights of the works council. With systems that schedule appointments and make workload visible, the question of performance and behaviour monitoring is central, and belongs on the table early.
What the works council asks
Multi-tenancy
The ability to run several legally separate entities in one system, with separate permissions and separate reporting but shared steering. Decisive for groups and partner ecosystems.
Partner ecosystems
N
No-show
A participant does not turn up. It costs examiner time, delays procedures and creates coordination work; flynne warns early and helps to fill the place.
What a no-show costs
P
Potential assessment
A procedure that does not test suitability for a specific post but judges development potential. Common in learning and development, often with follow-up conversations over months.
Leadership & potential
Procurement readiness
The ability of an offer to stand up in a public tender: demonstrable references, certificates, accessibility, data protection and a willingness to accept the buyer’s conditions. Not a seal, but the sum of demonstrable requirements.
Public sector
Q
Qualification matrix
The record of which person is qualified for which type of procedure. It prevents mis-staffing not through warnings but by never offering unsuitable people in the first place.
Planning & scheduling
R
Requirement profile
The description of the competencies and characteristics a role genuinely demands. It stands at the beginning of any serious procedure: without it, nobody knows what to observe.
Result sheet
The documented outcome of an assessment per participant. In flynne with deadline monitoring, so that no sheet becomes overdue without anyone noticing.
S
Self-booking
Candidates choose their own appointment from released slots. It saves arranging dates by email and makes the appointment the candidate’s own decision.
Candidates & self-booking
Single sign-on (SSO)
Signing in to an external system with your own corporate account, technically through standards such as SAML 2.0 or OpenID Connect. No extra password, and anyone who leaves the company loses access as soon as the corporate account is disabled.
Roles & portals
Standardisation
Not: every procedure looks the same. But: within one procedure the same conditions apply to every participant. That is what makes comparing results permissible.
Supervision ratio
The ratio of examiners or assessors to participants that a procedure has to meet as a minimum. In flynne it is part of the template: shortfalls are reported automatically.
Planning & scheduling
T
Time-to-assessment
The time from registering a candidate to their assessment appointment. One of the most telling figures in a selection operation: it helps decide how many good candidates you still reach.
TOM (technical and organisational measures)
The documented list of protective measures with which a processor secures data: encryption, access rights, logging, training, contingency planning. An annex to the data processing agreement and usually part of the first procurement questionnaire.
V
Validity
The question of whether a procedure really measures what it is meant to measure, and whether it predicts success on the job. The most important quality standard for selection instruments.
